At Future Building, we prioritise making your Commercial EPC Survey experience as seamless as possible. Our Commercial EPC service involves three straightforward steps from the moment you accept our quote:
- Booking – We’ll confirm your appointment with the person providing access to the property.
- Site Survey – Our assessor will visit your property to conduct the EPC survey at the agreed time.
- Payment and Delivery – We’ll invoice you once the documents are prepared. After payment is received, we’ll email you your documents.
Commercial EPC Survey – Pre-Appointment
Once you’ve accepted our quote, we will ask you to gather all essential details, including:
- Property address
- Access contact details
- Invoicing information
- Any additional information (e.g., details of lighting, HVAC, or floor plans)
This information will be used to schedule your appointment, and you will receive a confirmation of the survey type, property address, and pricing before we proceed. If you’re a landlord or managing agent, we recommend notifying your tenant or the access contact about the upcoming appointment. After confirming the appointment, you’ll receive a “Confirmation of Booking Details” email. This will include:
- Property address (as it should appear on the EPC)
- Survey type
- Appointment date and time (with arrival time slots if applicable)
- Assessor’s name
- Pricing details, including any mileage costs
- Instructions for further contact if needed
How to Prepare for Your Commercial EPC
Please inform us if the property has any hidden insulation or renewable technologies (such as solar PV, thermal systems, biomass boilers, or heat pumps) before the survey date. Failing to disclose this information may result in these elements not being included on the EPC, which could impact the rating. We may require documentary evidence of the insulation or renewables.
Landlords or managing agents should confirm that the tenant can provide access to ensure a smooth survey process. Please also inform any staff or managers present on the day of the survey that our assessor will be visiting. Our assessor will need access to all areas of the property, including meter and boiler cupboards, so ensure that access is arranged before the appointment.
Site EPC Survey
Commercial EPC surveys must be conducted by an accredited SBEM assessor (Non-Domestic Energy Assessor or NDEAs) qualified at the appropriate level. We will determine the required survey level (Level 3, 4, or 5) upon booking. At Future Building, our assessors are accredited to all levels and equipped to handle varying complex properties.
The duration of the survey depends on the size and complexity of the property. During the survey, the assessor will evaluate the following elements:
- Construction of the property
- Space heating systems
- Water heating systems
- Ventilation
- Lighting
- Any renewable technologies present
Please note that the commercial EPC survey is non-intrusive, meaning the assessor will not drill holes or lift floorboards. They will only record visible insulation or renewables, so it’s crucial to inform us beforehand about hidden features. During the survey, the assessor will take measurements, notes, and photographs and create a basic floor plan to assist with data processing afterwards.
Post-Appointment
After the survey, the assessor will process the data using government-approved software. This process involves creating a 3D computer model in specialist software (Design Builder), and it typically takes 3 to 4 working days. However, it can be completed same-day for a premium—please let us know if you require a fast-track service, and we will amend your quote.
Once the EPC is complete, you’ll receive an email notification that your documents are ready, along with an invoice. Please check your spam or junk folder around the expected time for your EPC, as invoices can occasionally end up there.
Payment is to be made via bank transfer. Once we receive payment, we will email the completed documents to you and, if requested, to another email address of your choosing. Please note that bank transfers may take up to 24 working hours to process.
If your property is rated below an E rating (the minimum required for rental properties), we will provide the EPC in draft format so you can lodge it with the national register. Draft EPCs must be lodged within 6 months of the appointment date, so please inform us if you’d like this done. We can also provide drafts first, regardless of rating, upon request—just let us know when booking.
